Douglas Calibration Services Reduces Technicians’ Workload and Stress

For Douglas Calibration Services, the quality of life for its technicians – by way of workload and stress reduction – was the driving force behind implementing a fully digital calibration process. Beamex LOGiCAL Calibration Software has helped them achieve exactly that, while also equipping them to deliver a faster, more consistent, and more efficient service for a broad and diverse client base.

Douglas Calibration Services has provided premium calibration services since 1989 as part of the Jones Engineering Group. Currently, their skilled team of more than 70 technicians supports over 130 clients, including some of the most prominent companies within the pharmaceutical, energy, and food and beverage industries.

As a long-standing Beamex customer, Richard O’Meara, Contracts Manager at Douglas Calibration Services, was already very familiar with the Beamex range of hardware and software. “We use Beamex MC2, MC5, and MC6 documenting calibrators daily, and I’m in regular contact with Aidan Farrelly from Beamex and their local channel partner Howard Instrumentation, both of whom I have a fantastic relationship with,” says Richard.

Into the Cloud with a Stress Free Paperless Solution

Richard and the Douglas Calibration Services team had been looking for a cloud solution that would facilitate a fully paperless way of working. Beamex LOGiCAL Calibration Software fitted that requirement perfectly and immediately removed the need for cumbersome manual data entry, which is notoriously time-consuming and prone to human error.

Prior to 2013 everything was done on paper, which was incredibly tedious and inefficient for our technicians,” Richard explains. “We developed our own in-house database, which at least made it possible to search historical data and enter data digitally. This was the starting point in our journey towards a completely paperless process, which eventually resulted in our implementing LOGiCAL for all of our clients in 2022.”

One of the major advantages for Douglas Calibration Services with LOGiCAL is the flexible pricing, whereby the company pays per use and scales up or down depending on the project requirements. “It gives us great value for money because we only pay for what we use. As it's a cloud-based solution, there's also no wastage or big initial outlay on infrastructure or implementation, and no hardware upgrades either,” Richard remarks.

Rescuing Technicians from a Mountain of Paperwork

Beyond the advanced technology and precision engineering involved in calibration, the work still relies on the people performing it. Protecting their wellbeing is just as important as ensuring that instruments are calibrated accurately. This was a key factor in Douglas Calibration Services' decision to adopt LOGiCAL.

As much as we needed to streamline our processes, improve efficiency, and make it easier to generate calibration certificates, it was even more important for us to take the pressure off our technicians who were drowning in paperwork,” Richard says. He estimates that technician workload has been reduced by 30 to 40 percent thanks to LOGiCAL.

The market for experienced technicians is very competitive, so anything we can do to retain good people is a huge plus for our business. In this way, LOGiCAL boosts both our brand as an employer and the quality of service we're able to provide for our clients.”

Gone are the days of carrying heavy laptops from site to site and relying on paper printouts; today, technicians head out with a tablet running the Beamex bMobile Calibration Application, which they use to complete all calibration tasks. The company has loaded upwards of 2,000 instruments into its LOGiCAL database, with expectations of completing more than 10,000 calibrations annually using the digital system.

Once calibration results are captured in the field and synchronized with LOGiCAL, administrative staff can download and review the information before emailing calibration certificates directly to clients. Today, thanks to LOGiCAL, 90 percent of clients receive their certificates on the same day or the day after the work has been completed. No more paper, no more scanning, and no more slow postal delivery.

A Little Peace of Mind Goes a Long Way

With so many calibrations, it is easy to imagine how tasks could be forgotten or deadlines missed. When is an instrument due for recalibration? Is the reference standard still in date and certified? LOGiCAL eliminates these concerns.

We perform around 100 calibrations a month for one of our larger clients, and before LOGiCAL we had to manually track the recalibration due dates on a spreadsheet,” Richard recalls. “Now, LOGiCAL does all this work for us with its ‘instruments due’ feature so we never miss a date. What’s more, it also tracks the reference standards so we can make sure all our references are in date and never miss a recertification.”

A Helping Hand Is Always Available.

Beamex and Douglas Calibration Services have evolved side by side through the transition to paperless calibration. Beamex held monthly meetings during implementation to address issues and discuss enhancements; the feedback from the Douglas team has added new features and improved software.

The software itself also has a built-in help center, so if one of our people needs assistance they can ask a Beamex expert for on-the-fly support. We’ve always received prompt responses to these types of queries,” Richard says.
